This key Development Department position works with the Front Desk, Reservations and other Museum departments at the award-winning Hands On Children’s Museum to manage the Altru database which includes 45,000 constituent records including Museum members, donors and visitors. This position ensures excellent data integrity and accuracy in all departments and uses best practices for gift entry, gift & pledge processing, invoicing, mailing list pulls, membership renewals, data queries and reports. Qualifications • Bachelor’s degree preferred plus min of 2 years of relevant experience • 2+ years of experience using Raiser's Edge or similar donor software for development, marketing and financial tracking, reporting and analysis • Technical experience in consolidating data from multiple sources • Familiarity with Quickbooks, basic bookkeeping or financial management • Successful completion of criminal background check • Ability to understand, manipulate and use CRM data and systems • Ability to develop and document best practices and systems for the purposes of data integrity and management/use • Strong report/query writing, analytic and problem-solving skills • Ability to compile and analyze data, identifying trends and providing meaningful reports indicating measurable actions • Highly organized, motivated and detail oriented • Ability to take initiative, work independently and with a team • Ability to prioritize, meet deadlines and manage multiple tasks simultaneously • Ability to respond to unanticipated situations and shift priorities while remaining poised and calm under pressure. • Must be a
Job Responsibilities Database Integrity & Training • Serve as the internal Altru Database expert and maintain data accuracy and integrity among all departments; troubleshoots data questions and issues • Supervises the training of all Altru users to ensure that best practices are followed and data integrity is maintained; maintains updated procedures • Runs regular reports and queries for database clean-up efforts and streamline data processes to improve data flow • Serves as the primary liason between the Museum and the software provider Blackbaud and trains and supports staff and volunteers in the use of the Altru database • Demonstrates creativity, initiative, and collaboration skills with a positive attitude Donor Records & Gift Processing • As a key member of the Development team, manage all aspects of gift accounting, including gift entry, gift processing and gift acknowledgement, including the supervision of part-time and volunteer support. • Ensure the scheduling, tracking and invoicing for pledges and recurring donations, and provide status reports to ensure gifts arrive on schedule • Maintain accurate donor records and analyzes data for campaigns, events and donor trends Front Desk Sales, Membership Renewals & Marketing Support • Works with the Front Desk Manager and other Altru users to develop accurate, efficient processes for ticket sales, program reservations, and event management. • Builds new program offerings in the database to enable on-line sales. • Coordinates monthly membership renewal process via email and mail and collaborates on incentive offers with Development Staff • Create mailing lists based on parameters for direct mail projects, membership renewals and various mailing campaigns • Oversees the exporting of email sign-ups from the website to Altru Financial • Responsible for tracking and preparing invoices for donor sponsorships, gift clubs, payment plans, etc • Coordinates regular credit card processing of donor payments • In partnership with the business manager provides all reports/queries required for financial reconciliation between departments
