Executive Assistant


Knock Knock Children’s Museum is seeking its first full-time Executive Assistance to support the Executive Director in the management of his/her daily schedule and internal and external communications. The Assistant will work closely with the Executive Director to provide personalized secretarial and administrative support in a well-organized and timely manner. The incumbent will work on a one-to-one basis on a variety of tasks related to the Executive Director’s working life and communication.

The Executive Assistant must be highly organized, pro-active, and passionate about Knock Knock’s important mission to be the community spark for high quality learning experiences through play for all children in the Capital Region, in particular the increasing population of children growing up in under resourced environments.

The successful candidate will relish the opportunity to be a part of a nimble, and efficient Executive Team that promotes the good will and positive momentum that demonstrates how Knock Knock is a vital and necessary educational resource and a family favorite destination for the Capital Region. As an important part of Knock Knock’s staff, the Executive Assistant will report directly to the Executive Director and will work in close communication with the rest of the Leadership Team.

- Bachelor’s Degree preferred, equivalent experience may be considered; - Previous experience as an executive assistant or in project management preferred; - Exceptional focus and attention to detail and accuracy; - Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail; - Must have project coordination experience, and the ability to work well with all levels of internal management and staff, outside clients and vendors; - Innovative thinker with a positive attitude and creative problem solving skills; - Requires strong writing, computer and Internet research skills; - Proficient in Microsoft Office Suite (Word, Excel, Outlook); - Excellent verbal and non-verbal communication skills; - Ability to handle sensitive and confidential information; - Functions well in a position that requires organization, punctuality, and execution; - Experience and interest in internal and external communications, partnership development, and fundraising.
Job Responsibilities
- Performs administrative duties for Executive Director and assists Deputy Director as needed; - Responsibilities may include screening calls, leading special projects, preparing reports, and managing calendars, schedules, meetings and event arrangements; - Create a working relationship with all levels of internal management and staff and outside clients and vendors; - Field and process telephone calls; - Efficient with word processing, creating spreadsheets and presentations; - Prepare agendas for board, committee, and staff meeting; - Organize and record board, committee, and staff meeting minutes; - Coordinate executive communications, including taking calls, responding to email and interfacing with clients; - Prepare internal and external documents for team members; - Maintain an organized filing system of paper and electronic documents; - Uphold a strict level of confidentiality; - Conserve Executive Director’s time by reading, researching, and routing correspondence, drafting letters and documents, collecting and analyzing information, and initiating telecommunications; - Maintains Executive Director's schedule by planning and scheduling meetings, conferences, teleconferences, and travel; - Welcomes guests and customers by greeting them, in person or on the telephone; be able to answer or efficiently direct inquiries; - Liaise with internal staff at all levels; - Must be able to manage an extremely active calendar of appointments; - Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures; - Works closely and effectively with the Executive Director to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.
